The Sunshine Social Club Event Policies
To ensure the safety and enjoyment of all participants, The Sunshine Social Club (SSC) has set the following participant guidelines. By registering for an activity or event, you are agreeing that you understand and will abide by these guidelines, and that you understand that actions may be taken if the guidelines are not followed. By registering for an activity, the participant, their family, legal guardians, and support staff waive all rights and claims against The Sunshine Social Club (SSC) and its representatives and volunteers, for any and all damages or injury from whatever cause suffered by participation in the activity or event.
REGISTRATION
All participants and their supervising individual must be registered for a program in order to attend. Please do not show up at a Sunshine Social Club activity or event without registering in advance. Admittance will not be allowed.
Registrations are accepted online, in person, or by mail. Registrations are not taken at activities or events or over the phone.
Registrations will be taken on a first come, first served basis and may fill up. In the event that an activity does fill, you may be placed on a waiting list.
Online registration closes three days prior to each program.
Confirmation of registration will be sent to the email provided on the registration form. Any questions in regard to registrations can be sent to info@thesunshinesocialclub.org.
All activities offered, hosted, sponsored, and organized by The Sunshine Social Club (SSC) will begin and end as close to the scheduled time as possible. Activity leaders will not delay the start of the activity due to late arrivals. Discounts will not be given for those who are not able to attend the entire activity.
The Sunshine Social Club will attempt to create the best possible environment for all participants in their activities. On the registration form, please provide any special assistance, accommodations, or information needed to help make the participant’s experience an enjoyable one.
PAYMENT METHODS
The Sunshine Social Club accepts all major credit cards, cash, and checks.
ACTIVITY CANCELLATIONS
The Sunshine Social Club reserves the right to cancel a program due to circumstances beyond our control. These include, but are not limited to, severe weather, lack of staff or participants, loss of facility, and other unavoidable reasons.
If there are not enough registrations for an activity, the activity will be canceled 3 days prior to the scheduled activity and registered participants will be notified by the email provided on the registration. A refund will be processed to the original form of payment and for the full amount.
For weather related cancellations, The Sunshine Social Club (SSC) will notify activity participants by the email address provided during registration, as well as posting the cancellation announcement on all SSC social media accounts. The original activity will be rescheduled and registrations will be transferred to the new date. In the event that the new date no longer works for the participant, SSC must be notified within 3 days of the new date and a refund will be issued to the original form of payment.
Participants who need to withdraw from a registered activity must notify The Sunshine Social Club (SSC) at info@thesunshinesocialclubmn.org at least 1 week prior to the activity to receive a refund to their original form of payment.
Withdrawals within 7 days of the activity will not be refunded.
Repeated withdrawals from registered activities may affect a person’s ability to register and attend future activities.
If a participant or their support staff and/ or family become ill just prior to the planned activity, they are requested to stay home as to limit the exposure to other participants and staff. Please stay home for the following reasons:
*Fever of 100°F or over during the past 24 hours
*Vomiting within the past 24 hours
*Diarrhea within the past 24 hours*
*Pink eye (must be on eye-drops for at least 24 hours before attending any activity)
*Head lice
*Strep throat (individual must be on antibiotics for at least 24 hours before attending any activity)
*Upper respiratory infection such as bronchiolitis, influenza, or COVID.
STAFF RATIOS/SUPPORT STAFF/CAREGIVERS
The Sunshine Social Club (SSC) does not offer supervision or support services during our community activities. The Sunshine Social Club staff and volunteers are prohibited from providing hands-on assistance with eating, lifting, toileting, and medication. If the participant does require assistance or support of any kind, they must attend the activity with a qualified support staff and/or family member.
Support staff and/or family member can attend activities free of charge if they are assisting the participant. If the support staff and/or family member would like to participate in the activity alongside the participant, they must register as a participant as well. If more than 1 support staff and/or family member attends the activity, they must register as a participant.
ALCOHOL
Alcohol is not allowed at The Sunshine Social Club (SSC) activities that are held at our Sunshine Social Club (SSC) Activity Center.
Activities held outside of The Sunshine Social Club (SSC) Activity Center, but are organized by The Sunshine Social Club, may be at establishments that offer alcoholic beverages. If anyone who is 21 and older chooses to drink, we ask that it is done in moderation and participants should always accept the guidance of their legal guardian and physician when deciding to do so. It is also important to be aware of any medications that the participant is taking which may interact with alcohol consumption. If alcohol is consumed, safe transportation is required.
It is illegal to drink alcohol under the age of 21 and underage drinking will not be permitted.
If someone 21 and older orders an alcoholic beverage, please do not share it with others.
TOBACCO
Tobacco use is not permitted inside The Sunshine Social Club (SSC) Activity Center. Tobacco use must be used outdoors in designated areas so as not to interfere with other participants’ health.
Tobacco use at venues and/or settings outside The Sunshine Social Club (SSC) Activity Center must follow the rules established by the venue and/or setting.
DRUGS
Illegal drug activity, including but not limited to the possession or use of illegal substances, will not be permitted by any activity or event hosted, sponsored, or organized by The Sunshine Social Club (SSC).
CLOTHING
All participants and support staff and/or family members should dress appropriately for the scheduled activity.
Participants may choose to supply their own apron or “paint shirt” for classes where the opportunity to get messy may arise.
The Sunshine Social Club (SSC) is not responsible for clothing that is damaged during activities hosted, sponsored, or organized by The Sunshine Social Club (SSC)
SAFETY AND BEHAVIOR
The safety and security of all of our participants, their support staff and/or family, and the volunteers and staff of The Sunshine Social Club (SSC) is a priority. In order to achieve this, participants of activities hosted, sponsored, or organized by The Sunshine Social Club (SSC) may not:
*Physically attempt to cause injury to themselves or others, or cause destruction of property
*Verbally threaten, intimidate, or harass other participants, staff, or others.
*Engage in inappropriate physical contact with other participants, staff, or others. o Use consistent unsafe behavior to themselves or others.
If there is failure to follow the above policies, The Sunshine Social Club (SSC) reserves the right to immediately remove the participant, and/or their support staff and/or family from the activity.
If the behavior is severe enough to put the participant, other participants, their support staff and/or family, The Sunshine Social Club (SSC) staff and volunteers, or other community members in danger of harm, The Sunshine Social Club reserves the right to implement an immediate, indefinite, suspension from all current and future The Sunshine Social Club (SSC) activities and events.
ADDITIONAL NOTES
The information requested on the registration forms will be used to determine facility and equipment needs, and may be provided to staff, volunteers, instructors, attorney, insurer and auditor. Email information provided is for internal use only and will not be sold or solicited. Photographs or videos of classes in action may be taken and used for The Sunshine Social Club’s social and print media. If you object to having your picture used, please select that option on your registration form.
